You still run the show. Kel just makes sure the admin doesn't run you. Talk to her like you'd talk to your bookkeeper, and she keeps the fiddly bits ticking over so you can get on with the actual work.
Set-up takes about ten minutes, most of it once and never again. Here's the run of it.
First month's on usLog in any time at itsallsorted.com.au/login.html with the email and password you set up at sign-up. Forgot it? Tap "Forgot password?" on the login screen and you'll get an email to set a new one.
First time you open it on your phone, your browser will usually offer to add Its All Sorted to your home screen. Say yes and it sits there like any other app, one tap to open. If it doesn't pop up, open your browser menu and pick "Add to Home screen".
The very first time you open a fresh account, Kel walks you through the whole thing on screen. Want to see it again later? It's under Account as Take the tour, any time.
Same app, same data, two views. Flip between them with the toggle up the top. Most people live in On the job day to day and duck into Full app when they're sorting the paperwork.
Out working. Just today's jobs, top to bottom, and one tap to tell Kel something. Nothing else in your face.
The lot. Customers, quotes, invoices, expenses, reports. Where you get set up and do the desk work.
In Full app, head into Account and fill in your business details: name, ABN, phone, your GST position, and your bank details for the bottom of invoices. Add a logo if you've got one.
Do this first and it flows onto every quote and invoice from then on. You only do it once.
Open Customers. There are two kinds of people you bill:
This is the one you'll use most. In Full app there's a "Sing out to Kel" card; out working, it's the green Tell Kel bar along the bottom. Tap the mic, say it out loud, the name, the number, what they want, and it's logged in seconds. Kel sorts what you said into a lead, a note or a reminder for you.
Turn a lead into a quote, or tell Kel "quote for Dave" and she'll tee it up. Build it, then send it your way: email it (the customer gets a tidy email with a green Accept button and the PDF attached), or share it straight to text or WhatsApp.
The moment they tap accept, you're told and it becomes a job ready to book. No chasing paperwork.
Pop the job in with a date, and a time if you want one. It shows up on your Today screen, and out On the job it sits in your worklist for the day, earliest first.
Need to move it? Just tell Kel "move the Malbon St job to Thursday" and she'll tee it up for you to confirm.
When you've finished on site, tap the job open and mark it done. That drops it straight into Ready to Invoice. Done for cash instead? Tell it that and it's settled on the spot, no invoice needed.
Open the job from Ready to Invoice. The invoice is already filled in, and it's built the right way for who you're billing:
Give it a once-over, hit send, and the PDF goes out attached, by email, text, WhatsApp, or however you talk to your customers. Your invoice numbers climb on their own. Want to see it first? There's a Preview PDF before anything's sent.
When the money lands, open the invoice and mark it paid. That's it.
Once an invoice is past due (that's the terms you set, On receipt or 7, 14, 30 days), it shows up as Overdue with a Send reminder button. Tap it and a polite reminder goes out, worded right and sent to whoever the invoice went to.
Kel's your offsider. Tap her anytime and ask her in plain words. She'll tell you where things are at, and set jobs up for you to tap and confirm. She never fires anything off on her own, and you can tap through the whole app yourself without her if that's more your style.
Open Its All Sorted on a computer and you get the desktop version, same login, same data. It's the one for a sit-down: a dashboard of how you're tracking, bulk-importing your whole contact list from a spreadsheet, and pulling reports for the accountant. It swaps to desktop on its own when you're on a computer.
